Who is responsible for your data

What we collect

When you book a session

Your name, email address, phone number, the session you booked, and payment confirmation details. Card details are handled by our payment provider and are never stored by us.

When you contact us

Your name, email address, phone number and whatever you tell us in your message, whether that comes through the contact form, email, phone or WhatsApp.

When you tell us about a health condition

If you tell your host about a medical condition so we can keep you safe, that is special category data. We use it only for your safety during that session and we do not keep a record of it afterwards.

When you visit the website

Standard technical information such as IP address, browser type and the pages you viewed, collected by our hosting provider for security and performance.

Why we use it, and our lawful basis

• To take and manage your booking — performance of a contract.
• To answer your enquiry — legitimate interests, so we can respond to you.
• To keep you safe during a session — your explicit consent, and vital interests where there is a risk to health.
• To meet tax and accounting obligations — legal obligation.
• To send marketing emails or offers — your consent, which you can withdraw at any time.
• To keep the website secure and working — legitimate interests.

Who we share it with

We do not sell your data. We share it only with the service providers we need to run the business:

• Stripe, our payment provider, to process your payment
• Our website host, to serve the site
• Our contact form provider, to deliver form submissions to us
• WhatsApp, where you choose to message us that way
• Google Maps, which loads the maps embedded on our locations section and may receive your IP address when it does
• Our accountant and, where we are legally required to, the Revenue Commissioners

How long we keep it

• Booking and payment records: 6 years, to meet Irish tax requirements.
• Enquiries that do not lead to a booking: 12 months.
• Marketing contacts: until you unsubscribe.
• Health information given verbally for a session: not retained after the session.

Cookies and embedded content

This website does not use advertising or tracking cookies of its own. Pages that embed Google Maps load content from Google, which may set cookies and receive your IP address. Our booking system, hosted separately, sets the cookies it needs to hold your basket and process your payment.

We do not run Google Analytics or any other visitor tracking on this website, so there is no analytics cookie banner.

Your rights

Under the GDPR and the Data Protection Act 2018 you have the right to ask us for a copy of your data, to correct it, to have it erased, to restrict or object to how we use it, to receive it in a portable format, and to withdraw consent at any time. Email info@saunaswithsoul.ie and we will respond within one month.

Complaints

If you are not happy with how we have handled your data, please tell us first so we can put it right. You also have the right to complain to the Data Protection Commission, 21 Fitzwilliam Square South, Dublin 2, D02 RD28, at dataprotection.ie.
